Key Responsibilities:

  • Provide full secretarial and admin support to the project team and department to ensurethe smooth running of the department operations
  • Maintain records of Engineers and assist in their movements
  • Take minutes of meeting and maintain records for the operations and project team
  • Develop and maintain document control processes for the efficient management
  • Maintain a proper and user friendly filing and document control system for recording andtracking of all documents for the project team and department
  • Support the officers and project team in daily admin roles and assist to keep stock ofstationary supplies for the department
  • Perform data-entry, recording, printing and filing duties
  • Undertake any ad-hoc admin projects/duties as required
  • Coordinate travel arrangements inclusive of air-ticket, hotel accommodation, visaarrangements, claims etc
  • Assist to check and verify staff claims and invoices for project team
  • Prepare and raise purchases requisition for purchase of office equipments for new staffRequirements:
  • Min GCE ‘A’ level or Diploma in Business Administration with certifications inSecretarial studies
  • Min 2 years relevant experience in a similar role preferably in Marine/Oil & Gas Industry
  • Good knowledge and experience in making organizing travel arrangements and visaapplication/embassy requirements etc
  • Professional and pleasant personality with good written and verbal communication andinterpersonal skills
  • Proactive, take initiative and well organized
  • Able to work fast under pressure
  • Mature, with an attention to detail and highly resourceful
  • Ability to multi-task and work independently as well as in a team.
  • Proficient in MS Office applications (Excel, Words and Powerpoint) is a must andexperience in using SAP software is advantageous

Job Description

  • To monitor and manage project progress at site and report to Project Manager on overall project progress status
  • To attend site / technical meeting and coordinate with Client, Main Contractor, Consultant and Architect on project related technical and site issues
  • To manage and coordinate with sub-contractors and suppliers to ensure project budget, schedule, quality and technical specifications is meet
  • Preparation of project shop drawing, as-built drawing, and other necessary project documents (eg. method statement, weekly project reports, T&C reports etc.)
  • To coordinate with Client’s site personnel on worker’s safety and project quality issue and carry out testing and commissioning at site
  • To assist in project progress claim and submission of work progress report and other related documentation for project claim purposes
  • To involve in tender process which include technical document preparation and quantity take-off

 

Requirements

  • Candidates must possess at least Diploma / Advanced Diploma / Bachelor’s Degree in Mechanical Engineering / Electrical Engineering or equivalent
  • Preferably Junior Executive specialized in Engineering – Mechanical and Electrical. Related working experience in Fire Protection Services will be an added advantage
  • Good command of language both written and spoken in English and Bahasa Malaysia. Ability to speak in Mandarin will be an added advantage
  • Self-motivated, willing to learn, hardworking, result oriented and a team player
  • Good communications and interpersonal skills with all level of people
  • Ability to handle stress and work independently
  • Proficient in Microsoft Office (Word, Excel, Power Point) and AutoCAD
  • Willing to travel when needed
